Who We Are

The Anderson School of Dance (trading as ASD Dance) is the data controller for personal information collected in connection with our dance school activities. The school is based in Medway, Kent and is run by Debbie Anderson.

If you have any questions about how we use your personal data, or wish to exercise any of your rights (see Section 7), please contact Debbie directly using the details above.

What Data We Collect

We collect and hold personal data about the following groups of people in connection with running ASD Dance:

• Students — name, date of birth, class attendance, exam results and IDTA grades achieved, competition entries and results, photographs and videos taken at classes or performances
• Parents and guardians — name, home address, email address, telephone number(s), emergency contact details, medical information relevant to dance participation (e.g. allergies, injuries, conditions)
• Staff and volunteers — name, contact details, DBS check reference and date, emergency contact details, qualifications

We collect this information when you enrol a student, contact us by email or phone, or communicate with us in the course of your child's attendance at ASD Dance.

We do not collect data we do not need. We do not share personal data with third parties for marketing or commercial purposes.

How We Use Your Data

We use the personal data we collect for the following purposes:

• To manage student enrolment, attendance, and class scheduling
• To communicate with parents and guardians about classes, fees, exam dates, performance events, and school updates
• To administer IDTA exam entries and record results
• To manage competition entries and results
• To respond to medical emergencies during class — providing relevant medical information to first aiders or emergency services
• To meet our safeguarding obligations under the Children Act 1989 and 2004 — which may require us to share information with Medway Children's Social Care or other relevant authorities
• To maintain staff records and DBS compliance

We will not use your personal data for any purpose not listed above without your explicit consent.

Photographs and Videos

We may take photographs or videos of students during classes, performances, exams, or competitions. These may be used to:

• Share with students and families as a record of achievements
• Promote ASD Dance on our website and social media channels (Facebook and Instagram), where we have obtained parental consent to do so

We will always ask for written consent before using a child's image publicly. You may withdraw consent at any time by contacting Debbie at asdance99@gmail.com. Existing published images will be removed within a reasonable time of receiving such a request.

We do not share images with third parties, sell images, or use them for any commercial purpose without separate explicit consent.

How We Store Your Data

We store personal data securely in two forms:

• Paper records — kept in locked storage when not in active use, accessible only to Debbie Anderson and authorised staff
• Electronic records — stored in password-protected systems with access limited to Debbie Anderson and authorised staff. Devices used to access student and parent data are protected by a screen lock and login password

We retain personal data for as long as a student is enrolled with ASD Dance. After a student leaves, we will retain basic records (name, dates of attendance, exam results) for up to three years in case of future queries or safeguarding reviews. All other personal data will be securely deleted or destroyed within 12 months of a student leaving.

Safeguarding records are an exception: these are retained indefinitely in accordance with statutory guidance.

Sharing Your Data

We do not share personal data with third parties for marketing, advertising, or any commercial purpose. Personal data may be shared in the following limited circumstances:

• IDTA — the International Dance Teachers' Association, for the purpose of processing exam entries and issuing certificates
• Competition organisers — where a student is entered into a competition, limited personal details (name, age group, class entries) will be shared with event organisers
• Medway Children's Social Care, the police, or other statutory agencies — where required to fulfil our safeguarding duties under the Children Act 1989 and 2004
• Emergency services — in the event of a medical emergency, relevant medical information may be disclosed to paramedics or hospital staff

In all other cases, we will seek your explicit consent before sharing personal data with any third party.

Your Rights

Under UK GDPR and the Data Protection Act 2018, you have the following rights in relation to personal data we hold about you or your child:

• Right of access — you may request a copy of the personal data we hold about you or your child at any time
• Right to rectification — you may ask us to correct inaccurate or incomplete data
• Right to erasure — you may ask us to delete personal data we no longer have a lawful basis to hold (subject to our safeguarding record-keeping obligations)
• Right to restrict processing — you may ask us to restrict how we use your data while a complaint or query is resolved
• Right to object — you may object to our use of your data for purposes based on legitimate interests

If you are not satisfied with our response, you have the right to lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk or by calling 0303 123 1113.

Policy Review

This Privacy Policy will be reviewed at least every two years, or sooner if there is a significant change in legislation, guidance, or the way we process personal data.

The current version of this policy is always available on our website. If we make material changes to how we handle your personal data, we will notify you directly by email.
